Materials2Market ("M2M", "we", "us") is a communications consultancy based in Vancouver, British Columbia. This policy explains what personal information we collect through materials2market.com and in the course of our work, why we collect it, and the choices you have.
We follow British Columbia's Personal Information Protection Act and, where it applies, Canada's Personal Information Protection and Electronic Documents Act.
Who is responsible
Our Privacy Officer is accountable for how we handle personal information. You can reach the Privacy Officer at info@materials2market.com.
What we collect
- Information you give us. Your name, company, job title, email address, phone number and anything you write when you fill in a form, email us, book a call or subscribe to updates.
- Information from working together. Contact details for client staff and stakeholders, interview notes, and photos, audio or video recorded for a project.
- Information collected automatically. Your IP address, browser and device type, the pages you view, the site that referred you, and the date and time of your visit.
- Information from other sources. Referrals and public business sources such as company websites and professional profiles.
Free AI scan requests. If you ask for a free AI scan, we review the public web pages of the company you name and what AI assistants report back. We first review and make necessary changes, and send the results only to you, and only after confirming you work at that company.
Keeping our forms secure. Our forms use Cloudflare Turnstile to block spam, which checks your browser and connection. Messages you send through the forms are delivered to us by our email service provider.
We don't ask for sensitive information such as health, financial or government identification details through this website. Please don't send it to us.
Why we collect it
We use personal information to:
- respond to inquiries and prepare proposals;
- deliver, manage and bill for our services;
- send updates and insights where you've agreed to receive them;
- run, secure and improve the website; and
- meet our legal and tax obligations.
We collect only what we need for these purposes. If we want to use your information for something new, we'll tell you and ask first.
Consent
When you give us information for a purpose we've described, you consent to our using it for that purpose. You can withdraw consent at any time by contacting the Privacy Officer. We'll tell you if withdrawing affects what we can do for you, and legal or contractual limits may apply.
Email and other electronic messages
We send commercial messages only where we have your express consent or where consent is implied under Canada's Anti-Spam Legislation. Every message identifies us, gives our mailing address and includes an unsubscribe link.
You can also unsubscribe by emailing info@materials2market.com. We act on every request within 10 business days.
Cookies and analytics
The website uses cookies that are necessary for it to work. With your consent, it also uses these tools, all loaded through Google Tag Manager: Google Analytics, to measure traffic and understand which pages are useful; and the Meta Pixel and the LinkedIn Insight Tag, to measure how our ads perform and to show our ads to people who have visited the site.
When these tools run, Google, Meta and LinkedIn receive information about your visit, such as your IP address, device and the pages you view, and may link it to an account you hold with them. They handle it under their own privacy policies. You can also control ad personalization in your Google, Meta and LinkedIn account settings.
You can refuse non-essential cookies through the cookie banner or your browser settings. The site will still work.
Who we share it with
We don't sell or rent personal information. We share it only with:
- Service providers that support our client relations, communications, analysis and website, such as cloud email and document tools, website hosting and security services, and AI tools we use that may support us in research, analysis, and editing some portions of our work. We remain responsible for information they handle on our behalf and require them to protect it.
- Professional advisers such as our accountant and lawyer, where needed.
- Others where the law requires or permits it, or where you've agreed.
We publish a testimonial, name, image or recording only with the written consent of the person concerned.
Storage outside Canada
Some of our service providers store information in the United States or other countries. While it's there, it is subject to the laws of that country and may be accessible to its courts and law enforcement. Contact the Privacy Officer if you'd like to know more about where your information is held.
How long we keep it
We keep personal information only as long as we need it for the purposes above or as the law requires.
- Inquiries that don't lead to an engagement: up to 2 years after our last contact.
- Client files: 7 years after an engagement ends, for tax and legal purposes.
- Mailing list details: until you unsubscribe.
If we use your information to make a decision that directly affects you, we keep it for at least one year so you can ask to see it. After that we securely delete or anonymize it.
How we protect it
We use safeguards suited to the sensitivity of the information, including access controls, multi-factor authentication, encrypted devices and reputable service providers. No method of storage or transmission is completely secure.
If a breach of our safeguards creates a real risk of significant harm to you, we'll tell you and the relevant privacy commissioner as soon as we reasonably can.
Your rights
You can ask us:
- what personal information we hold about you and how we've used it;
- who we've disclosed it to;
- for a copy of it; and
- to correct anything that's inaccurate or incomplete.
Write to the Privacy Officer. We may need to confirm your identity, and we'll respond within 30 business days. If we can't give you access to something, we'll explain why.

Our website links to other sites, including social media platforms. Those sites have their own privacy policies, and we aren't responsible for their practices.
